At Between The Peaks, we understand that travel plans can sometimes change. Our cancellation and refund policy is designed to keep the process clear and fair while allowing us to manage advance arrangements with our local partners.
1. Cancellation by the Participant
If you need to cancel your booking, please inform Between The Peaks as early as possible in writing.
Refund eligibility will depend on the time of cancellation, the amount already committed to accommodation, transportation, permits and other non-recoverable arrangements, and the specific terms communicated for your journey.
2. Booking Amount
The booking amount paid to confirm a spot may be non-refundable or subject to deductions depending on the cancellation timeline and the arrangements already made for the participant.
The applicable cancellation terms will be communicated at the time of booking.
3. Cancellation Close to Departure
Cancellations made close to the departure date may be subject to higher deductions because arrangements such as accommodation, transportation, permits and local services may already have been paid for or committed.
Any eligible refund will be calculated after deducting applicable non-recoverable costs.
4. No-Show
If a participant does not arrive for the journey or joins after the scheduled departure without prior approval from Between The Peaks, it will generally be treated as a cancellation and may not be eligible for a refund.
5. Leaving the Trek Midway
If a participant voluntarily leaves the trek after the journey has started, unused services are generally non-refundable.
Any additional costs arising from an early departure, including transportation, accommodation or other arrangements, will be the participant's responsibility unless otherwise agreed.
6. Cancellation or Changes by Between The Peaks
In certain circumstances, Between The Peaks may need to cancel, postpone or modify a journey due to safety concerns, severe weather, natural disasters, government restrictions, trail conditions, transportation disruptions or other circumstances beyond our reasonable control.
Where possible, we may offer an alternative date, modified itinerary or another suitable option.
Any refund, credit or adjustment will depend on the circumstances and amounts recoverable from our service providers.
7. Weather & Mountain Conditions
Mountain journeys are subject to unpredictable weather and trail conditions.
Changes made for safety reasons do not automatically qualify for a full refund where services have already been arranged or used.
8. Transfer of Booking
In certain circumstances, a participant may request to transfer their booking to another person or batch.
Such transfers are subject to availability, operational feasibility and approval from Between The Peaks. Additional costs, if applicable, may be charged.
9. Refund Processing
Where a refund is approved, it will generally be processed through the original payment method or another mutually agreed method.
The processing time may depend on the payment provider and the time required to reconcile amounts with our service partners.
10. Travel Insurance
We strongly recommend that participants obtain suitable travel insurance covering trekking, high-altitude activities, medical emergencies, evacuation, trip cancellation and other relevant risks.
Participants should carefully check the coverage and exclusions of their policy before travelling.
